Overview

Managing tags efficiently is essential for maintaining an organized system. The new automatic tag management features simplify this process by ensuring that tags are applied and removed based on predefined rules. Below is a detailed explanation of how these features work and how they can help streamline your tagging process.

Prerequisites

Permission: TagManage

Access to: ?tags

This is the Tag SIT to manage tag

Adding a Tag - There are two ways to add a new tag:

Option 1: Via the Tags Page

  1. Navigate to ?tags
  2. Click Add New
  3. Enter the Tag Name and select a Color
  4. Complete any additional required details
  5. Click Save to create the tag

Option 2: Via SIT – Manage Tag

  1. Go to SIT and click Manage Tag
  2. The Manage Tag portal will open on the right side of the screen
  3. Type in the name of your tag
  4. Click Create Tag to save

Auto Assign tags and Auto Remove Tags

1. Auto Assign Other Tag(s) When Adding a Tag

This functionality allows you to automatically assign additional tags whenever a specific tag is added. This is particularly useful in scenarios where multiple related tags are needed to classify or identify an item accurately.

How It Works:

  • When you add a particular tag (e.g., TAG 1), the system will automatically add another tag or multiple tags (e.g., TAG 2) along with it.
  • Example: Adding TAG 1 will result in TAG 2 being added automatically, ensuring that all relevant tags are consistently applied.

2. Auto Assign Other Tag(s) When Removing a Tag

This feature allows for the automatic replacement of a tag when a specific tag is removed. It helps maintain a structured tagging system by ensuring that the removal of one tag triggers the addition of another, keeping your records organized.

How It Works:

  • When you remove a specific tag (e.g., TAG 1), the system will automatically add a new tag (e.g., TAG 2) in its place.
  • Example: Removing TAG 1 will automatically result in TAG 2 being added, ensuring continuity in tagging.

3. Auto Remove Other Tag(s) When Adding a Tag

This function provides a way to clean up or refine tags by automatically removing other tags when a particular tag is added. This can be useful when tags are mutually exclusive or when adding one tag renders others redundant.

How It Works:

  • When you add a specific tag (e.g., TAG 1), the system will automatically remove another tag or tags (e.g., TAG 2) that are no longer needed.
  • Example: Adding TAG 1 will result in TAG 2 being removed, keeping your tagging system precise and relevant.

4. Auto Remove Other Tag(s) When Removing a Tag

This functionality allows for the simultaneous removal of multiple tags when a specific tag is removed. It ensures that associated tags are cleared out together, maintaining consistency and preventing outdated or irrelevant tags from remaining in the system.

How It Works:

  • When you remove a specific tag (e.g., TAG 1), the system will automatically remove other associated tags (e.g., TAG 2, TAG 3) that should no longer be applied.
  • Example: Removing TAG 1 will result in TAG 2 and TAG 3 being removed as well, simplifying your tag management.

5. Notify User(s)

This feature allows users to be tagged and notified directly on their dashboard and via email. It ensures that relevant team members stay informed about important updates and changes in real time.

How It Works:

  • When a user is tagged in a specific SIT, they will receive a notification on their dashboard and via email.
  • Notification preferences can be modified in ?users&op=notificationsSetup&from=setup.
  • The Tag Assigned field must be adjusted if the user wishes to receive notifications via dashboard, email, or both.

Example:

  • Tagging User A in a comment or update will trigger a notification on their dashboard and send them an email, keeping them informed of any changes.
