Users - Add a New Employee User
Overview
This guide explains how to add a new user in Fortix—whether an employee or contractor. Anyone who needs access to Fortix as a Company User should be registered through this process.
Step 1: Access the Company Profile
- Click the Profile Menu Icon
- Select Company Profile

Step 2: Add a New Contact Person
- The Contacts form will open, displaying a list of contact persons on the right side of the page. These are the users shown on the Users page.
- Click Add New

- Complete the Contact Person form with the relevant details
- Click Save to commit the record to the system

Step 3: Assign User Access
- Go to the Contact Person
- Use the Filter in the Name column to locate the newly added user
- Click the down arrow in the Action tab and select User Access

Step 4: Edit User Details
- Go to Edit User Details
- Complete the Edit User form with the necessary information

Step 5: Password Setup
- Click Force Password Change by User (next login) for security
To set a password:
- Click the padlock icon
- Click Generate for a system-generated password
- Use the copy icon to copy the password to your clipboard
- Click Use Password to apply it
- Click the eye icon to reveal the password if needed
Step 6: Xero Integration (If Applicable)
If your company uses Xero as its financial system:
- Ensure fields such as Rate are correctly populated in the user’s details

Step 7: Dashboard Setup – Reset User
- Choose a reference user whose dashboard pattern you'd like to apply
- Tick the boxes for components to copy (Dashboard, Roles, Theme, Quick Menus)

Step 8: Notifications & Roles
- Set the required Notifications and Authentication Roles


Step 10: Email Setup
- Configure the new user’s email according to your company’s email system
Go to: ?email_senders
- Add the new member to the list of email senders to enable outbound communication
