Getting Started - How to Use Fortix
We’re really excited that you have selected us to help you grow your business. Our aim is to get you up and running fast.
Please remember that the terminology and screen layout may be different in the system configuration that your business is on.
Login
Easy and secure access to the Fortix system. After entering the system link typically yourcompanyname.fortix.systems into the URL address bar, you are presented with a login screen. Enter your email address and password. Click SIGN IN.
On the first login, the PASSWORD CHANGE screen will prompt you to re-set your password.
Enter a secure, only known by your password. Click SAVE to access Fortix. Use this new password next time to access Fortix.
Dashboard
In Fortix the dashboard provides at-a-glance views of different areas in Fortix relevant to a particular objective or business process for the user.
The "dashboard" is usually displayed on the home page which is linked to a database that allows the components to be constantly updated.
Whether you are creating a new user or want to change the look of multiple users Dashboard, the Reset selected users function in Fortix makes it easy to have multiple users Dashboards look the same..

Add a New User (Employee)
How to Add a New User in Fortix. This could be an employee or contractor. Any person you want to register to have access to Fortix.
Click the Profile Menu Icon and find and Click Company Profile.
The Contacts form open with a list of CONTACT PERSONS on the right side of the page. This is users that will be displayed as COMPANY USERS on the ?users page.
Click the plus sign to Add a New Person.
Complete the Contact Persons form with the relevant data.
Click SAVE to commit the record to the system
Create a New Customer Contact in Fortix
The end goal is to create a ‘single customer view’ by having one record for each client containing all their relevant data.
If you already have a database of customers or suppliers or contacts, you can use the Importing Data into Fortix function.
To add a new Customer in Fortix Base, Click CONTACTS then a list of current CONTACTS will automatically display.

Click on the Add New menu option in the CUSTOMERS heading bar. The ADD NEW form is where you enter the details of your new customer.
Logged-In User Photo
Having a Picture of the user who is logged in establishes the character of your company.
Click on the Avatar icon in the right-hand corner of the Fortix screen. Select Change Photo.
The EDIT form opens, click SELECT FILE to upload a new photo for the logged-in user. Ensure that the photo is displayed correctly by using the formatting buttons.
How to change your password
Fortix enables users to be self-sufficient by enabling them to take control of their personal data like changing their password.
All changes are tracked by the changelog, so it is totally transparent. This frees up valuable time and prevents miscommunications.
Click Edit User Details. Scroll down to the System Login Details section. Enter the Password and Repeat Password. Adding a Password Change Reason is compulsory.
How to Enter a New Opportunity
Sales pipelines can be tough to keep track of, so our team has developed a Bus Dev module that helps sales personnel generate leads, create quotes and proposals, convert opportunities into customers and of course, into work.

Click BUS DEV. The Opportunities page opens.
Locate the Add New option on the right-hand side of the Opportunities page. Click Add New.
How to use Filters in the List view
When working with large data sets, with many rows of data, it can be a challenge to find relevant information. Fortix makes it easy to narrow down the search with a simple yet powerful filter tool/

Importing Customer/Supplier Contact Data
Data is every business's best friend and should be treated as one of your most powerful tools. Consider the information your organization may be recording on its prospects, customers, and suppliers. It is easy to understand that the data must be of the highest quality in order for it to be used effectively and lead to measurable success and growth.
Access the Import Contact List function by Clicking the ImportContact List in the Setup Menu.
Download the approved XLS template file for import by clicking on the Download it here
Use the downloaded Excel Template and prepare the data according to the given format.
Navigate to the IMPORT CONTACT FORM FILE and Click SELECT FILE to select the file for data import.
Your Data file will be displayed in the IMPORT CONTACTS FROM FILE section. Now click IMPORT.
Click the "Yes" option for "Create values missing in the picklists."
Send Email from Fortix
With our easy to customise Email template, you can build a consistent way and format in which you communicate with your customers.

To Send an Email in Fortix, Click COMMUNICATION then Send Email.
Send an SMS to a Contact
Click the Customers heading in the CONTACTS menu. The Contacts page opens with a list of Contacts. The address bar link is:/?customers
Find the CONTACT DETAILS column in the list view. Click the Send SMS icon.
The SEND SMS form opens with the Customer details populated.
Click the down arrow in the Template field and select the correct Template to use in the Text message.
The braked Tag information is used to personalise the text message. Click SEND.
Work Request - Create a Work Request
Work Requests is a job distribution module that enables assigned users to track and follow jobs that have been logged against a Project or Sales Order. This module also acts as a time sheeting function, which can be further categorised into the type of work and the work area in the project setup.
To Create a New Work Request, navigate to the Create Work Request or Projects page. Current registered Projects will be listed in the PROJECTS Dataset. A Work Request must be linked to a Project. Click on Create Request on the right-hand side of the project row in the drop-down Action tab.

The Create Work Request page opens with the CREATE WORK REQUEST form.
Products - Add a Product
Navigate to the Products page by Clicking on PRODUCT MANAGER and selecting Products. Click Add New to add a product.

Finance
How to Setup Billing Entity
Billing Entity is the entity who is invoicing and collecting payments from clients. Depending on your business model, there may be more than one Billing Entity.
Click Setup Icon on the right side of the screen and find "Billing Entities" under FINANCE. Click Billing Entities.

Click Add New to Add another Billing Entity. Click an existing Billing Entity Name to edit.
How to Integrate Xero into Fortix
In Fortix the Xero integration gives you a simple and seamless way to share data between Xero accounting software and your existing Fortix solutions. By adding this integration, you can save hours on manual data entry, get more visibility into spend, and more.

Access the Xero Applications page in Fortix through the Setup Menu.

The ADD NEW form for Xero Applications opens. Add the Name in the Name field.
Quote Setup - Changing Quotes / Update & Rerun Invoice
Fortix Quote setup can be set to replace quote items when regenerating invoice if the new quote total is lower than the paid amount of the invoice. As an example, the client accepted a quote, there is an invoice sent which is partially paid. The new invoice will display credit for the client.
The system will rerun the invoice automatically when the quote is updated in Quote Edit form.
To set up the branch options in Quotes Navigate to the Quote Setup form. Click the Gear Icon - Setup and find Quotes Setup under the STOCK menu.

Next, Navigate to the Quotes page and edit the quote that needs to be changed and the invoice rerun.

Find the Invoice component and View Invoice PDF.
Invoices - Create an Invoice
An invoice, sometimes called a sales invoice, is a document sent by Fortix system to the purchaser. The invoice establishes an obligation on the part of the purchaser to pay, creating an account receivable. In other words, the invoice is a written verification of the agreement between the buyer and Fortix for the goods or services provided.

Navigate to the Invoices list view. Click Add New on the right-hand side of the INVOICES page, which is found in the FINANCE or ACCOUNTS heading.
Use Knowledge Base Articles
It is possible to have knowledgebase articles displayed and used from the Work Request page in Fortix.
This article explains how to create, activate collaboration and link a Knowledge base article to a Project/ Work Request in Fortix.
